Imperial Consultants, a global building surveying company, required a brand new mobile reporting system for their specialist on-site surveyors to submit assessment reports and provide improved workflow.

The on-site issue

Imperial Consultants are a building surveying company working on behalf of national and international clients.  With a workforce of specialist surveyors covering the full width and breadth of the country they have both the skills and capacity to process hundreds of jobs every day.  Their surveyors attend site and undertake a thorough assessment of the job in order to deliver a fully detailed report to their clients.  With a number of years of rapid growth, Imperial Consultants first approached First Option with an aim to improve the efficiency of their growing workforce of surveyors through the implementation of a brand new mobile system.

Imperial were looking for a solution that would help their surveyors follow a consistent workflow process and be able to submit their assessment report back to the office before they even leave site.   This would help improve the quality and consistency of reporting and significantly reduce the report completion time.

The off-site solution

First Option, with Imperial’s direction, created the IT software platform and application to help and guide the surveyor in all aspects of his role, from booking appointments through to the finished reports.  New jobs received by back office staff are allocated out to the nearest available surveyor and the full job details sent immediately to their mobile device over a 3G connection.  Surveyors use the software to follow Imperial Consultants detailed assessment process, gathering all the pertinent job background, assessment information and photography of the incident to substantiate their reports.

First Option helped Imperial Consultants choose a specialist Windows Tablet device that allows the software to make use of the built-in hand writing recognition, GPS, 3G connectivity and USB ports for the download of photos from a digital camera.

Due to the dynamic nature of the client’s business we recognised early on that we needed to create a system that would be flexible enough to cater for future needs. We therefore built in mechanisms to allow changes to the assessment workflows to be easily managed, controlled and automatically distributed to the mobile workforce without creating a demand on the surveyors’ time or attention.

The system takeover

Part way through the project Imperial Consultants also had call on us to undertake a System Takeover of their central Management System.  We took on full responsibility for maintaining the existing source code and database management.  The system is used by Imperial Consultant’s back office team to ensure jobs are processed in time with agreed Service Levels and manage all aspects of the reporting process.  Systems Integration with client systems provides automation to further enhance the efficiency of the service.  The system is continually enhanced to keep pace with the fast moving business and has been extended to add a brand new customer facing portal.
